📋 SOP: Using Claude Code to Save Time and Grow Your Service Business
Ok, so today I want to walk you through a tool called Claude Code. If you’ve never heard of it, that’s fine. Most service business owners haven’t. This guide is written for people who are not technical and just want to understand what this thing is, what it does, and how it can help you with the day-to-day admin side of running your business.
I’m writing this because a lot of the business owners I work with spend their days in the field doing the actual work, and then come home to a pile of office stuff. Emails to answer. Reports to read. Proposals to write. Spreadsheets to update. The physical work always gets done. The office work is what falls behind.
Claude Code can handle a big chunk of that office work for you. This guide walks through the setup and the basics so you can decide if it’s worth trying.
What Is Claude Code
Claude Code is an AI assistant that runs on your computer. You talk to it in plain English, and it does tasks for you.
But it’s not just a chatbot that answers questions. It can actually read your files, look things up on the internet, and complete work based on your instructions. So if you have a folder of 50 inspection reports, you can tell Claude to read all of them and pull out any properties with roof damage or code violations. It does that in a few seconds.
The reason it can do this is because it has a very large memory. It can hold and process a huge amount of information at once. So instead of you reading 50 reports one at a time, Claude reads all 50 and gives you a summary.
It has two speeds. For simple stuff like drafting an email, it responds right away. For more complex tasks like reviewing a long contract, you can turn on extended thinking mode where it takes extra time to carefully work through the details before responding. Think of it like asking someone to give you a quick answer versus asking them to sit down and really think it through.
One thing worth knowing is that Claude is designed to be straightforward with you. If your instructions don’t make sense or if something looks off in your numbers, it will tell you. It won’t just agree with everything.
How Claude Code Is Different from ChatGPT
If you’ve used ChatGPT before, the main difference is memory.
With ChatGPT, every time you start a new conversation, it forgets everything from the last one. You have to re-explain your business, your preferences, and your rules every single time.
With Claude Code, you can create a file with your business rules and information, and Claude remembers it across sessions. You set it up once. After that, Claude always knows who you are, how you operate, and what your preferences are.
Over time, this becomes more and more useful because the system already knows your business. You spend less time explaining and more time getting work done.
What You Need to Get Started
You don’t need any technical skills for this. If you can send a text message, you can use Claude Code.
Claude Subscription - About $20 a month. This gives you access to the full version of the AI.
Claude Desktop App - Free to download. This is the main screen where you interact with Claude. It has a feature called Co-work that lets you see your files and Claude side-by-side on your screen.
Your Business Files - Whatever you already have. Inspection reports, receipts, spreadsheets, notes, contracts. Just put them in a single folder on your computer.
Here’s the setup in three steps:
Download the Claude Desktop app.
Log in with your account.
Pick a folder on your computer where you keep your business files and tell Claude that’s your workspace.
That’s it.
How to Set Up Your Business Rules
This is the most important step and it only takes a few minutes.
Create a plain text file in your business folder and name it claude.md. In this file, write down the basics about your operation. Keep it simple.
Here’s an example for a property management company:
“We are a residential property management company based in Phoenix. We manage 45 units. Our communication with tenants is friendly but professional. Maintenance requests should be acknowledged within 2 hours. Our priority is tenant safety first, then cost efficiency.”
Here’s an example for an HVAC company:
“We are a residential HVAC company. We value same-day response when possible. Our tone with customers is straightforward and honest. Always quote the repair cost before starting work.”
This file becomes Claude’s reference for everything it does. Instead of giving you generic responses, it gives you responses that match how your business actually operates.
One thing to keep in mind. Keep this file clean and updated. If you let it get cluttered with old or conflicting information, Claude won’t know which rules to follow. If your priorities or procedures change, update the file. It takes two minutes.
What You Can Actually Do With It
Here are the main things Claude Code can help with for a typical service business.
Read Files in Bulk
If you have a stack of documents like inspection reports, lease agreements, or vendor contracts, you can have Claude read through all of them at once and pull out whatever you need.
Example: “Read these 50 inspection reports and list any property that has mold, water damage, or a roof issue. Rank them by urgency.”
Claude reads all 50 and gives you the list. What used to take you an entire evening takes a few seconds.
Draft Emails and Messages
If you find yourself writing the same types of messages over and over to customers, tenants, or vendors, Claude can draft them for you.
Example: “Write a reply to this tenant complaint. Use a friendly but professional tone. Let them know the plumber is scheduled for Monday morning and we apologize for the delay.”
Claude writes the draft. You read it, make any changes you want, and send it.
Important: Always read what Claude writes before you send it to anyone. It’s fast and usually accurate, but you know your customers better than any AI does. You’re the final set of eyes.
Create Proposals and Bids
Instead of spending an hour or two typing up a bid after a job walkthrough, you can give Claude your notes and have it generate a professional proposal.
Example: “Here are my notes from today’s job walkthrough. Draft a proposal for the client with an itemized cost breakdown.”
Review Your Numbers
If you have a spreadsheet with your monthly revenue, expenses, or job data, Claude can turn it into something easier to read.
Example: “Look at this spreadsheet and tell me which month we spent the most on repairs. Show me a simple chart.”
You get a clear visual of your numbers without needing to know Excel formulas.
Turn Content Into Marketing
If you have a video of yourself explaining a repair or showing off completed work, Claude can turn it into written content for social media or email.
Example: “Here’s a transcript of a 10-minute video where I explain how to maintain an AC unit. Turn it into 5 short tips I can post on Facebook this week.”
A Few Things to Keep in Mind
Be specific with your instructions. If you tell Claude “help me with these files,” it won’t know where to start. Always name the folder, describe the task, and tell it what output you want. The more specific you are, the better the result.
Start a new chat if quality drops. If you’ve been working in a single conversation for a long time and Claude starts giving you weaker responses, just open a new chat. Long sessions can slow things down. A fresh conversation fixes it.
Your data stays in your folder. Claude can only see the files you point it to. It’s not browsing through your personal photos or bank accounts. Keep your business files in a dedicated folder and that’s all Claude accesses.
You don’t need to code. I want to be clear about this. There is no coding involved. You describe what you want in normal English. If you can explain a task to an employee, you can explain it to Claude.
Common Questions
“Is my data safe?”
Claude runs in a sandboxed environment, which just means it’s isolated. It only sees the files you give it access to. Nothing else on your computer.
“How much does this cost?”
The subscription is about $20 a month. The desktop app is free.
“What if I don’t like the answer Claude gives me?”
That’s normal. Claude is a tool, not a final decision-maker. If something doesn’t look right, tell Claude what to fix or just ignore it and do it yourself. You’re always in control.
“What if it’s slow?”
If you have extended thinking turned on, Claude is taking extra time to carefully work through a problem. For quick tasks, you can keep it in regular mode. For anything that needs real analysis, the slower mode is worth the wait.
“I’m not good with computers. Can I still use this?”
Yes. The whole point of Claude Code is that it runs on plain English. There are no buttons to learn, no complicated menus. You just type what you want done.
Where to Start
If this feels like a lot, don’t overthink it. Pick one thing.
Maybe it’s that folder of inspection reports you’ve been putting off. Maybe it’s the 15 customer emails sitting in your inbox. Maybe it’s your monthly spreadsheet that you know has useful info but you never have time to look at.
Upload that one thing. Write a basic claude.md file with 3 or 4 sentences about your business. Give Claude a task. See what happens.
